The Affinity Travel Group, Inc is a full service travel agency under the host agency Travel Planners International – IATAN #10504292
Our Vendors and Suppliers – As agents we work on the behalf of our clients by contracting with reputable suppliers including airlines, tour operators and cruise lines, destination management companies transportation providers, accommodations, etc. Terms and conditions may vary depending upon the supplier and are provided upon request. Clients agree that if the travel services or products are not supplied in accordance with their booking, the remedy lies with the service provider and not the Affinity Travel Group.
Prices – Every effort is made to ensure that the prices quoted are correct; however the Affinity Travel Group acts only as an agent and relies on information provided to us from the our travel providers and vendors. We will bring to our client’s attention any change in price made prior to you completion your booking and final payment. Please note some tour operators and travel service providers reserve the right to increase the price of your travel arrangements due to increases in airfares, hotel accommodation charges and currency fluctuations.
Deposits – All trips require a deposit. Prices are subject to change until a deposit is made. Deposit policies vary from vendor to vendor. Either a percentage or all of a deposit will be non refundable. Specific terms and conditions as it relates to deposits will be provided for each trip.
Itinerary Changes – The company reserves the right to alter or substitute routes, refreshments, meals, accommodation, itineraries, tours, services, vehicles and/or arrangements should conditions necessitate and will offer substitutes of equal value and will inform the client of any known changes before departure.
Cancellations – All cancellations must be made in writing. If you cancel your booking you may incur a cancellation charge. The amount of this charge will vary depending on when the cancellation is made and is based on the terms and conditions of the travel supplier or vendor.
Refunds – All request for cancellation must be made in writing. Depending upon the vendor it can take up to 45 days before a refund is issued.
Liability – The Affinity Travel Group is only acting as an agent as we have no liability in respect of the supply of any element of your booking, including any liability for illness, personal injury, death or loss of any kind, delay and inconvenience caused directly or indirectly by any provider of travel services or products or by other third parties unless caused by our negligence. Any claim for damages for injury, illness, loss or death must be brought against the relevant supplier of the travel services or products. While it is not required, we recommend that all travelers have adequate travel and health insurance.
Force Majeure – The Affinity Travel Group shall not be liable for any loss or damage incurred by you as a consequence of The Affinity Travel Group or any of the suppliers being unable to perform its obligations under your contract(s) due to the unusual or unforeseeable circumstances (a “force majeure event”) beyond the control of the party affected by the force majeure event.
Travel Insurance – The Affinity Travel Group strongly recommends that you take out travel insurance at the time of paying a deposit. While it is not required, travelers who opt of an insurance policy will be required to sign an insurance waiver. The policy should provide cover for loss of deposit, cancellation and additional expenses, medical expenses and repatriation and loss or damage to baggage and valuables. Travelers are responsible for making any special or increased insurance arrangements which they may deem necessary. Most major travel policies now include an epidemic endorsement, which includes updates for trip cancellation, trip interruption and medical coverage.
Service Fees – We may at our discretion charge service fees on a booking.
Payment by Credit Credit – card surcharges may apply to payments made by credit card. The fees are as follows- Visa & MasterCard 3.5% / American Express 3.9%
Passport and Visas – It is the client’s sole responsibility to ensure that they have a valid passport at the time of travel and that they hold all necessary visas and permits. Some countries require that a passport have at least six months validity. Children are required to hold individual passports.
Parents/Guardians traveling with children (17 or younger)
In addition to the minor’s passport, parents traveling with minor children will also be required to present a certified birth certificate. Additional requirements may apply when the child is traveling with only one parent or as an unaccompanied minor. In this case, you must be in possession of a certified letter of consent from the non-accompanying parent or guardian
Complaints – We hope you will have no reason to complain but if you are unhappy with any aspect of the services provided please report your concern immediately.
Data Protection – In order to process your booking we need to pass your details to the relevant suppliers. We will take all reasonable precautions to ensure the security of that information. We may also use the information you provide for marketing purposes and, if you do wish to receive any further information, please inform us.
Final Payments – They vary from vendor to vendor but are due 60 -90 days before travel
Governing Law – Any claim or dispute which may arise between client and the company including any claim for loss or damage due to injury to person or property shall be resolved by arbitration in accordance with the laws of Texas.
General – The Affinity Travel Group reserves the right to alter these terms and conditions at any time.
